Invoice2go can connect with accounting and payment services such as QuickBooks Online, Xero and PayPal. This independent guide is not affiliated with Invoice2go, BILL, Intuit, Xero or PayPal.

The first decision is not simply which integration to enable. It is which platform will serve as the main record for invoices, accounting entries and payment transactions. Invoice2go integrations do not all synchronize the same events: QuickBooks receives paid invoices, while Xero can receive invoices when they are sent.

What Invoice2go Integrations Do

Invoice2go is a web and mobile invoicing platform for creating invoices, estimates, client records, projects and payment requests. Its integration area includes services such as QuickBooks, Xero and PayPal, while the application navigation also references integration setup for QuickBooks, Xero and Zapier.

An integration reduces repeated data entry, but it does not turn every connected platform into an identical copy of Invoice2go.

Each connection has a narrower job:

The difference between sent and paid is especially important. An invoice may transfer to Xero before the customer pays, while QuickBooks waits until the Invoice2go invoice is marked fully paid.

Log In to the Correct Invoice2go Account

Invoice2go’s web integration setup begins from the company account. The initial QuickBooks and Xero connections must be completed from a desktop or laptop through the web application rather than entirely from the mobile app.

Do this first: confirm the company name, clients and recent invoices before linking an external service.

A user who enters another Invoice2go profile can connect the wrong company to QuickBooks or Xero. That mistake is harder to correct than a simple missing invoice because records may begin flowing into an unrelated accounting file.

Check:

  • Invoice2go company name
  • account email
  • intended QuickBooks or Xero organization
  • currency
  • tax settings
  • default revenue account

Skip selecting Connect until those details match the intended business.

Invoice2go’s documented web-access process begins from its login page and may include account verification before the user reaches company settings.

Connecting QuickBooks Online

Invoice2go’s QuickBooks integration automatically syncs fully paid Invoice2go invoices to QuickBooks, together with related client and item information.

The documented setup route is:

  1. Select the company name in Invoice2go.
  2. Open Account & settings.
  3. Select Connect to QuickBooks.
  4. Choose Connect to QuickBooks again.
  5. Sign in to QuickBooks.
  6. Authorize the connection.
  7. Select the appropriate revenue account.
  8. Confirm taxes and currencies.
  9. Complete the remaining import and mapping choices.

Once setup is complete, invoices marked fully paid from mobile can still sync. Only the initial connection requires the Invoice2go web application.

Priority statement: match currency and tax settings first, skip completing the connection while those fields disagree.

Invoice2go warns that tax or currency differences can require manual reconciliation in QuickBooks.

QuickBooks Does Not Sync Old Paid Invoices Automatically

The QuickBooks connection is not retroactive.

Invoice2go says only invoices marked paid after the integration is established will sync automatically. Invoices that were already paid before connection are not transferred through that automatic process.

This creates a common wrong expectation.

A business connects QuickBooks, waits for years of paid Invoice2go invoices to appear and concludes that the integration failed. The connection may be working correctly for new payments while historical documents remain in Invoice2go.

Before setup, decide how older records will be handled:

  • leave them in Invoice2go as historical documents
  • export data for the bookkeeper
  • enter summarized opening figures
  • migrate selected records under professional guidance

Do not mark old invoices unpaid and paid again merely to force synchronization. That can change payment dates, trigger reminders or create duplicate bookkeeping entries.

Use a deliberate migration method.

Importing QuickBooks Clients and Items

Invoice2go’s QuickBooks Online connection can import QuickBooks customers and products or services into Invoice2go. In Invoice2go, those records appear as clients and items.

The import can be performed during initial setup or later. Access depends on the Invoice2go plan, and the setup must be completed through the web application.

Review the Invoice2go lists before importing.

Possible duplicate patterns include:

  • “Smith Plumbing” and “Smith Plumbing LLC”
  • a customer stored under both owner name and company name
  • services with slightly different capitalization
  • old products that are no longer sold
  • identical items using different tax rates

Importing without review can create parallel client or item records.

Do this first: export or inspect the existing lists. Skip importing everything merely because the option is available.

After import, create a test invoice and verify that the selected client, item, tax and revenue mapping behave as expected.

Changes After QuickBooks Sync

Once an Invoice2go invoice has been marked paid and sent to QuickBooks, later changes in Invoice2go should not be assumed to update the existing QuickBooks entry.

Invoice2go’s integration documentation centers the transfer on the invoice at the moment it becomes fully paid. The two platforms should therefore be reconciled before substantial edits are made to a transferred document.

Use this workflow:

  1. Review the Invoice2go invoice.
  2. Confirm the client, items, tax and total.
  3. Verify the external payment.
  4. Mark the invoice fully paid.
  5. Confirm the QuickBooks entry.
  6. Correct both systems deliberately when a later change is unavoidable.

Do not expect the integration to behave as a permanent two-way mirror.

QuickBooks remains an accounting platform with its own records, while Invoice2go remains the customer invoicing system.

Disconnecting QuickBooks

If Invoice2go is disconnected through QuickBooks, the integration stops sending Invoice2go invoices into the QuickBooks account.

Disconnection does not necessarily remove records that already transferred.

Before disconnecting:

  • confirm that pending paid invoices have synced
  • export needed Invoice2go data
  • note the disconnection date
  • reconcile existing QuickBooks entries
  • tell the bookkeeper which system will be used going forward

Priority statement: establish a cutoff date, skip disconnecting in the middle of an unresolved billing period.

Without a cutoff, staff may assume invoices are still transferring and fail to enter them manually.

Connecting Invoice2go to Xero

Invoice2go’s Xero integration sends clients and invoices to Xero Accounting. Each sent Invoice2go invoice can automatically sync to the selected Xero sales account, together with client and tax information. Users may also choose to synchronize invoices individually.

The initial setup requires the web application:

  1. Select the company name.
  2. Open Account & settings.
  3. Choose Connect to Xero.
  4. Select Connect.
  5. Sign in to Xero.
  6. Allow access.
  7. Choose the correct Xero organization.
  8. configure revenue, tax and currency details.
  9. Complete setup.

After setup, invoices sent from a phone, tablet or desktop can sync to Xero.

This differs from QuickBooks. Xero’s documented trigger is the invoice being sent, not the invoice being fully paid.

Match Xero Currency and Taxes

Invoice2go says its currency must match the currency used in Xero before the connection can be completed. The setup also requires review of the default revenue account and tax mappings.

When tax or currency settings do not align, the integration may remain incomplete or produce errors that require correction. Invoice2go’s troubleshooting guidance specifically points users back to completing setup and matching Xero taxes and currencies.

Check:

  • base currency
  • tax names
  • tax percentages
  • inclusive or exclusive treatment
  • default sales account
  • Xero organization

Do not rename a tax solely to make the labels appear similar. The calculation and mapping must also be correct.

Tax requirements vary by location. Use a qualified accountant or local authority for decisions about which tax should apply.

QuickBooks and Xero Should Not Be Connected Casually Together

Invoice2go documents both QuickBooks and Xero integrations, but a small business generally needs a clear accounting system of record.

Sending the same invoice into two accounting platforms can create duplicate bookkeeping work and inconsistent balances unless the business has a deliberate reason and reconciliation procedure.

A practical choice is:

  • Invoice2go for customer documents
  • one accounting platform for the official books
  • one payment provider for each customer transaction
  • bank records for final settlement confirmation

Skip enabling every integration merely because it appears in the menu.

More connections mean more places where tax, currency, client names and invoice status must remain consistent.

Connecting PayPal

Invoice2go allows merchants to offer PayPal on selected invoices. The PayPal connection can be enabled at the account level and toggled on or off for individual documents.

The documented web route is:

Company name → Account & settings → Client payment options → Accept PayPal → Link PayPal

The user is redirected to PayPal onboarding and must then complete the account-linking steps sent by PayPal by email. Until that email process is completed, customers cannot pay through PayPal on Invoice2go.

That final email is a frequent friction.

A merchant may enter the PayPal address and assume setup is finished. The option still fails because the PayPal confirmation message was never opened.

Check the inbox and complete onboarding. Skip repeatedly toggling PayPal off and on.

PayPal Transactions and Unlinking

After customers begin paying through PayPal, Invoice2go can display recent PayPal transactions, including the client name, document number and payment amount.

However, Invoice2go warns that unlinking PayPal removes that transaction history from the Invoice2go app. Relinking later does not restore the earlier history there.

Export or reconcile before disconnecting.

Keep copies of:

  • invoice numbers
  • payment dates
  • customer names
  • amounts
  • PayPal transaction records
  • outstanding refunds or disputes

Do not unlink PayPal during an unresolved customer-payment issue.

Invoice2go also says PayPal Credit and Venmo may be presented through PayPal when available. Those methods cannot be toggled separately inside Invoice2go; disabling them requires disabling the PayPal option overall.

Stripe Card Payments

Invoice2go also provides a Stripe connection for supported debit and credit card payments. During setup, users connect with Stripe and may sign in to an existing Stripe account when the Invoice2go email is already associated with one.

Stripe is a payment integration, not an accounting integration.

It processes customer card payments, while QuickBooks or Xero handles accounting records. A Stripe payment may therefore be represented in several places:

  • Invoice2go invoice history
  • Stripe transaction history
  • accounting platform
  • bank deposit

Match the invoice number and transaction amount across those records.

Skip treating the bank deposit as though it should always equal one customer payment. Processing fees and grouped payouts can change the amount or structure visible at the bank.

Export Company Data Before Changing Integrations

Invoice2go’s company-data export includes invoices, estimates, credit memos, purchase orders, expenses, items, clients, time entries and appointments. The export is downloaded in CSV format and is currently available only from the web version.

Export before:

  • connecting a new accounting platform
  • importing QuickBooks clients and items
  • disconnecting QuickBooks or Xero
  • unlinking PayPal
  • cancelling the Invoice2go account
  • performing a large cleanup of duplicate clients

This creates a baseline.

Invoice2go reports can also be exported as CSV or PDF for a selected reporting period. CSV is intended for table-based review and sorting, while PDF provides a formatted version for viewing or printing.

Priority statement: save the export first, skip major integration changes without a recoverable reference.
